Website and account privacy

This policy covers website browsing, email contact and account services when registration is available.

1. Who is responsible and what this policy covers

Harry Shen operates AXIOVUM from mainland China and is responsible for deciding how personal information is used. Contact: contact@axiovum.com.

This policy covers axiovum.com, its public course text, research articles, guides, interactive examples and knowledge map, together with account security, membership and billing records, AI Tutor and Creator requests, course-learning participation, Learning Memory, the non-cash Market, formal assessment and course credentials when those features are released, signed-in support requests and email enquiries. Browsing public course text does not require an account.

Registration is for people aged 18 or over and is available only where the registration form confirms that the regional and operational safeguards are open. New registration, purchasing, AI, behaviour rewards, Market and credential activity are blocked in the UK and EEA until the required representatives have been appointed and their details published. Existing accounts in those regions can sign in, export or delete their information and view earlier records. The introductory allowance is 100 Tutor replies within 30 days from the first request. Plus and Clarus use separate seven-day reply allowances. A learning-activity completion is not mastery, a grade or a credential, and Market or Achievement records never become a formal result.

2. Information involved when you use the website

2. Information involved when you use the website
ActivityInformation involved
Loading pages and resourcesYour IP address, the page or resource requested, request time and technical information your browser sends, such as its browser type; the hosting service may keep access or fault records

Formal assessment and credentials, when released for a courseInvitation, course/depth/year/version, frozen paper, saved answers, timing and submission events, AI scoring suggestion, human final decision, evidence references, appeal and correction records, credential status, public masked-name record, private-share tokens and revocation records; optional oral-verification recordings where separately explained
Contacting us by emailYour email address, sender name where supplied, message, information you choose to include and our correspondence about the matter

Please use searches for course or guide topics rather than private personal information. You do not need to send identity documents, passwords, payment details, health information or another person's private information to browse the website or make an ordinary enquiry.

A display name need not be your legal name. We do not request your date of birth or an identity document for ordinary registration. You choose a password after following the email-verification link; we store a salted password hash, not a readable password. Do not email us your password, verification links or recovery codes.

3. Why we use this information

We use information to deliver the pages and resources you request, show search results, remember your chosen language and browsing position, and provide course comparison. We use necessary technical information to keep the website available, identify faults and investigate abuse.

We use the approximate IP country to apply regional service restrictions. The local lookup creates no separate IP-location history and does not request precise device location or send your IP to DB-IP. Hosting/security records and account or billing country records described elsewhere in this policy are separate. IP country can be inaccurate, including for shared networks or VPNs; it is not proof of residence. If a regional check appears wrong, contact contact@axiovum.com for review. Unknown locations do not bypass the restrictions. The database is credited to DB-IP under CC BY 4.0 on pages using its results.

If you email us or submit a support request, we use your contact or account details and message to answer the enquiry, discuss the proposal you raise or handle your privacy request. We may need to retain a relevant record to resolve a specific complaint or dispute or meet an applicable legal obligation.

For an account, we use your name, email and adult confirmation to process registration, verify control of the mailbox and manage access. Password and session information supports sign-in, recovery and protection against unauthorised access. Security, mail, storage, model-cost and error safeguards may pause new registration or purchasing without changing existing records.

For learning, we use the information you submit and relevant course context to generate the teaching response you request, continue the conversation, support formative practice and progress guidance, manage your reply allowance and recover interrupted requests. Your submitted message may remain saved even if the AI service fails to reply.

We use membership and Paddle transaction facts to show the price returned for the visitor's location, create and reconcile checkout, grant the purchased entitlement from the final signed transaction line items, handle renewals, refunds and disputes, and prevent duplicate fulfilment. We use Market records to deliver licensed content, operate non-cash credits, moderate content, hold seller proceeds for seven days and reverse credits after a refund. We use minimised visible-and-active confirmations to calculate an optional participation reward; we do not call it an attention measure.

Where a course has been separately released for formal assessment, we use assessment records to deliver the chosen paper, preserve answers, obtain an AI scoring suggestion and support the human final decision, appeal, correction or revocation. An AI score never becomes the formal result by itself. A course credential identifies the name supplied by a verified-email account; it is not legal-identity verification, proctoring, a degree, university credit, professional accreditation or external endorsement.

Learning Memory uses classified learning events to prepare a review of the session and, after at least three study sessions have been actively ended and reviewed in the same account, module, topic, depth, project and content version, may show a rule-based preference suggestion. A session can count even when its review records unfinished work. A suggestion is not saved as your preference or supplied to Tutor unless you confirm a choice. Your explicit preference takes priority. This process does not determine grades, mastery, rewards or access, and does not make a decision with legal or similarly significant effects.

Learning Memory does not use raw mouse movement, scrolling, click streams, exact dwell time, idle time or tab switching to produce these suggestions. Those raw signals are not stored in Learning Memory or supplied to Tutor. Opening an identified optional-help control can be stored as a classified help event, but it is not treated as evidence of attention, motivation, ability or mastery. Once a personal review is stopped, suppressed or deleted, its session events no longer contribute to new routine suggestions.

Registration is optional. A display name, usable email address, adult confirmation and password are required to create an account. Without them we cannot complete registration. Providing an enquiry is also optional; without enough information or a reply address we may be unable to answer. You can still browse public pages.

5. Interactive examples, the knowledge map and AI

The public examples calculate and display results in your browser. The knowledge map displays authored course concepts and their connections. Changing an example or exploring the map does not send those interactions to an AI model or create a personal learning assessment.

Searches and links can send the terms or selections in the page address to our website when you request a page. A copied example link includes its selected parameters. These page requests are separate from an AI conversation.

When you send a Tutor message or expressly request a Creator conversion, AXIOVUM sends the submitted text, relevant earlier context, supplied course material and selected references to the configured DeepSeek API to generate a reply. Course, task and selected-reference identifiers may accompany that context. An active personal note or learner-confirmed Memory preference may also be included when it belongs to the current topic or an explicit prerequisite in the same project and content version. Pending or unreviewed knowledge nodes remain labelled as such and are not formal scoring authority. Creator conversion consumes one weekly AI reply and the result is not published unless the author actively adopts it. Rule-based candidate preferences, activity-reward events and raw interaction streams are not sent merely because they exist.

If AI feedback for an AX26 formative task is enabled and you submit an answer, AXIOVUM sends that answer, the task prompt, expected evidence, reference answer, scoring criteria, whether and how many hints were disclosed, and course, task, attempt and content-version identifiers and an answer digest to the configured DeepSeek API for criterion-level feedback. Hint text is not added separately to this request. The original answer stays in your AXIOVUM learning record even when the model is unavailable. We do not automatically add your account email or sign-in credentials to this request; personal information included in your answer can still be sent. A formative judgment is not a formal grade or certificate.

We do not add your account email, password, verification codes or sign-in cookie to the tutor request. Personal information that you type in a message, or include in a selected reference, can still be sent. Do not include credentials or unnecessary personal information. You can read available authored material and use public examples without sending an AI message.

AI-generated replies may contain errors. Check important reasoning against the course material. The module tutor uses supplied authored context; a reference link does not mean it has opened that external page. Where local reference retrieval is used, the retrieved excerpts may be included in a teaching request; retrieval is not live web browsing.

Formative checks may record learning evidence and guide which learning step is ready. These checks and AI replies are separate from formal grades or certificates and do not grant paid membership. A description in a guide does not by itself activate a feature.

The registration system checks email verification, the adult declaration, regional availability and current operational safeguards. It does not rank applicants or assess academic ability. If an account or security check prevents you from proceeding, contact us to request a review.

6. Files, microphones and recordings

Ordinary course reading does not require a file upload or microphone. If an invited formal-assessment workflow requests an oral verification, we show a separate recording notice before capture, including purpose, access, retention and appeal information. Oral verification follows a documented human concern; an automated detector cannot by itself establish misconduct. Market uploads are scanned and moderated before public availability. Do not upload credentials, unnecessary third-party personal information or special-category information.

Email remains a separate channel. Please include only what we need to answer your enquiry, and contact us before sending sensitive documents or another person's information. Use the learning message field for text you want the tutor to consider. Do not send recordings, sensitive documents or another person’s private information through an ordinary enquiry.

7. Shared links, external pages and certificates

If you copy or share a link, the recipient can see information contained in the address, including example parameters or selected courses. Browser history and copies you keep are controlled through your browser or the service you use to share them.

Research and reference links may lead to other organisations' websites. Their privacy information applies when you visit them.

Formal assessment and credentials are released course by course and candidate by candidate. Public verification displays only the credential number, status, course, depth, date and masked name. A separate revocable, expiring private link can display the full account-supplied name and result. Account deletion revokes live course credentials and keeps a non-personal revocation tombstone so an old PDF does not falsely verify. Reading course text, completing participation activities or receiving an AI reply does not create a credential.

8. Email contact and browser storage

You can contact us at contact@axiovum.com without an account. Signed-in users can submit text-only requests at /support. Requests are stored with the account and read by authorised support administrators; staff may add internal handling notes. We do not automatically attach learning conversations, send these requests to an AI service or email them to third parties. Do not include passwords, verification codes, recovery codes or unnecessary sensitive information. Registering, sending an enquiry or expressing interest does not subscribe you to a marketing mailing list. Account verification, password recovery and security messages are service messages.

Membership launch notifications. Where the website offers a launch-notification form, you can ask us to email you when paid membership opens. This is a separate, single-purpose list. It is not a marketing mailing list, and we do not add anyone to it from an enquiry, a support request or an account email address.

We store the email address you type, the purpose of the request, the page you submitted it from, your chosen language, the version of the consent wording you were shown, and the times of the request and of your confirmation. We do not need your name, and we do not ask for one.

We send one confirmation email. You are only added to the list once you confirm from that email, using a button rather than by following the link, so that an automated mail scanner cannot confirm on your behalf. We use the address to send the confirmation and, later, one message saying membership has opened.

Every message includes a withdrawal link, and withdrawing deletes the record rather than marking it. An unconfirmed request is deleted when its confirmation window expires. A confirmed record is kept for up to 400 days and then deleted, or sooner if you withdraw or ask us to remove it. You can also email contact@axiovum.com to be removed.

Where the UK GDPR or EU GDPR applies, we rely on your consent for these notifications. Withdrawal does not invalidate the earlier sending carried out under valid consent. Asking for a launch notification does not create an account, reserve a place in any limited registration, grant access to course material, or commit you to a purchase.

Educator enquiries. Where the website offers an educator enquiry form, you can ask us about using our material in your teaching. We store the name, work email address, institution, role and teaching goal you type, the page you submitted it from, your chosen language and the time of the request. We use them only to reply to your enquiry and to keep a record of the conversation. This is not a mailing-list subscription, and we do not add the address to the launch-notification list.

Do not send us information about identifiable students, including names, rosters, grades or assessment records. The form does not ask for any of that, and we do not want it. We keep an enquiry for up to 400 days after we last acted on it and then delete it, or sooner if you ask us to. Sending an enquiry does not create an account, grant access to course material, or create any licence, pilot, trial or other arrangement.

When you sign in, a necessary session cookie keeps you signed in for up to 24 hours. Signing out clears that browser session; you can also revoke account sessions in your account security settings.

Cookie details are available from Settings and the footer. Opening or closing this window does not record consent or enable tracking. Earlier versions may have stored a notice-dismissal record in this browser; this window does not create or renew it.

The public pages use browser storage to remember language, catalogue position and course comparison choices. These catalogue settings support the choices you make on the website; they are distinct from the learning records described in this policy. They are distinct from server access records and from page addresses sent when you follow links.

You can change the language, clear the course comparison selection or remove axiovum.com data in your browser settings. Blocking or clearing storage may stop preferences and return positions from being remembered. Clearing browser data does not delete email correspondence or records held by a hosting service.

The learning workspace also keeps account-separated drafts, unfinished-send records and return positions in persistent browser storage so they can survive closing and reopening a tab. A confirmed send clears its matching draft; other drafts remain until cleared. Signing out does not itself erase these local copies. You can remove them by clearing this site’s browser data. Clearing that data does not delete conversations already saved on our server.

We will provide the relevant information and choices before introducing optional analytics, advertising tracking or marketing subscriptions. An email enquiry does not authorise those additional uses.

Support keeps unsent text and an unconfirmed send in page-session storage, separated by account in the current browser tab. This helps recover a draft after reload and check the same request without sending it twice. A confirmed submission clears its saved draft. You can clear remaining drafts by clearing this site’s browser data; restoring a browser session may restore them. Signing out does not itself erase those locally saved drafts.

9. Recipients and processing across borders

Harry Shen handles enquiries and operates the website from mainland China. Hostinger provides our website hosting on a VPS in Malaysia and our contact mailbox. Hosting involves website requests and necessary technical information. Account, learning and support records are also stored there and Hostinger handles account email delivery. Email delivery and mailbox storage involve email addresses and message content, including verification or recovery links when you request them. Your own email provider also processes messages delivered to your inbox.

For AI teaching, the configured recipient is DeepSeek, provided by Hangzhou DeepSeek Artificial Intelligence Co., Ltd. Requests are sent from our server to its API. The teaching context described in section 5 is processed by that service to generate a response. Provider-held service and security logs are handled under its applicable terms. See DeepSeek Open Platform Terms and DeepSeek Privacy Policy. The general privacy policy does not replace this notice for AXIOVUM users.

Paddle acts as merchant of record and processes checkout, payment method, tax, subscription, refund, chargeback and fraud-prevention information under its own notices and our service arrangements. AXIOVUM receives transaction and entitlement facts needed to show status and fulfil or withdraw access. We bind fulfilment to Paddle's signed final transaction line items rather than an amount estimated by our application.

We have not confirmed an API-specific retention period, training-use arrangement or complete list of processing locations for this service. We therefore do not promise zero retention, exclusion from training or processing in a particular country. Contact us about the arrangements relevant to your information. You can choose authored learning material without sending an AI message.

We may disclose relevant information to a legally authorised body where required by law, or to a professional adviser where necessary for a specific complaint or dispute. A partnership enquiry does not give a business partner access to other visitors' correspondence.

When you register, account information is hosted in Malaysia and can be accessed by the operator from mainland China. Email and provider operations may involve other locations used by those services. Contact contact@axiovum.com for information about the recipients and cross-border arrangements relevant to your information, including how to obtain information about applicable safeguards. We do not treat a provider's server location as the location of all its processing.

Hostinger’s published Data Processing Addendum forms part of its service terms and includes EU Standard Contractual Clauses and the UK International Data Transfer Addendum where applicable. You can read those contractual safeguards at Hostinger Data Processing Addendum or contact us for a copy and an explanation relevant to your information. These provider terms do not mean that every country involved has been recognised as providing an equivalent level of protection.

10. How long information is kept

10. How long information is kept
CategoryRetention standard
Language and catalogue preferences in your browserKept until replaced or cleared through the website or your browser; these local settings do not have an automatic expiry period
Learning conversations, requests, formative progress and model-use recordsKept with the active account to provide and continue learning. Module conversations do not currently have automatic expiry. You can request deletion or account closure; any specific reason for retaining part of the information will be explained. The 30-day introductory allowance is not a deletion deadline
Learning Memory sessions, classified events, personal reviews, preferences and Tutor-use receiptsKept with the active account and do not currently have an automatic expiry. Deleting a review removes it from the review interface and Tutor use and deletes its generated artifacts, but the underlying classified session and event records and a deletion marker may remain so that the review or preference is not silently rebuilt. Active preferences and reviews are included in the account export; deleted items are excluded. Account deletion removes the owner-linked Learning Memory records from the active application. You can ask us to review or delete a particular record earlier
Learning drafts and unfinished sends in your browserKept across visits until cleared or the matching draft is cleared after confirmed submission. Signing out does not erase them; clearing browser data does not delete server or provider records
Support drafts and unconfirmed sendsKept in account-separated page-session storage in the current browser tab until cleared or submitted successfully; browser session restoration may restore them
Course comparison selectionKept in browser page-session storage; you can clear the selection. Browser session restoration may restore it
Search terms and selections in addresses you keepKept according to your browser history and any copies or sharing service you use; remove them through those controls
Account profile and security settingsKept while needed to provide your account. You can request closure and deletion by email; we explain any specific legal or dispute-related reason for retaining part of the information
Verification and recovery requestsRegistration and email-change links expire after 24 hours; password-reset links expire after one hour. Expired requests are removed through regular maintenance. Resending a link creates a new validity period
Sign-in sessionsExpire after 24 hours unless revoked earlier. Expired server-session records are cleared when new sessions are created; signing out or revoking sessions also removes the relevant session records
Account security recordsRetention is assessed against the need to investigate unauthorised access, account changes and abuse. These records do not currently have a uniform automatic deletion deadline; you can request review or deletion by email
Signed-in support cases and handling recordsKept with the account for ongoing support and follow-up. Closed cases do not currently expire automatically. Deleting the account removes its cases and events from the active application; retained backups follow the account-erasure and recovery controls. Contact us to request an earlier review or deletion
Raw participation-reward activity sessionsKept for up to 90 days, then removed; reward, deduplication and audit receipts may remain for ledger integrity
Market content, purchases, credit ledgers and moderationKept while needed to deliver purchased access, operate the non-cash ledger, resolve a report, refund or dispute and document licence or moderation decisions. Account deletion removes or anonymises owner-linked active records subject to delivery, dispute and legal needs
Formal assessment, appeals, recordings and credentialsAssessment and appeal material is kept while the result, correction, appeal or dispute remains relevant. Recording-specific notice controls any oral recording. Account deletion removes owner-linked active records and revokes credentials; a tombstone retains only credential number, revoked status, course, year/version, depth and issue date
Enquiries and privacy correspondenceKept while answering the matter and completing agreed follow-up. After closure, we assess any remaining need for follow-up, a specific complaint or dispute, or an applicable legal obligation. Mailbox messages are reviewed and deleted manually rather than expiring automatically
Website access, security and fault informationRetention is assessed against delivery and security needs and any identified fault or abuse incident. There is no uniform automatic deletion deadline across server and provider records; you can request information about a particular record or ask for deletion

Where a specific dispute or legal obligation requires longer retention, we limit the retained information to that matter and reconsider the need when the matter ends. Provider-held copies, including backups, are part of the retention arrangements relevant to your information; deleting a browser setting does not clear those copies.

You can ask what we hold about a particular enquiry or learning conversation and request deletion. We will explain any relevant retention reason if we cannot delete all of it. We cannot remove copies you or other recipients have saved on your own devices.

There is no fixed first-100 product quota in this version. New requests can still pause automatically when regional, security, mail, storage, provider-error or service-budget safeguards are not met.

11. Your choices and requests

You can change your email and password and manage two-step verification in your account security settings. To close your account, request a copy of your information or exercise another right, email contact@axiovum.com.

In Learning Memory, you can inspect and edit a personal review, stop Tutor from using it, delete it from the review interface, set or remove the available help, return-entry and review-reminder preferences, and see a “Memory used” receipt when a reply used an active Memory record. These controls do not replace your right to ask us to access, correct or erase the underlying account-linked records. If you want the classified session or event records removed as well as the review, make that clear in your request.

You can also email us to ask about your information, including learning messages, progress and usage records, or request access, correction or deletion. Depending on the applicable law and processing, you may also request a copy or portability, restrict processing or withdraw consent.

You can object to processing based on legitimate interests. Explain the processing you object to and, where relevant, your circumstances. You can make a request without an account and without using a particular form.

Tell us enough to identify the matter, such as the email address you used and the approximate date of your enquiry. We may ask for proportionate further information if we need to verify your identity or locate the records. Please do not send an identity document unless we explain why it is needed.

We will respond within the period required by the law that applies to your request. If a permitted extension or restriction applies, we will explain it. We do not normally charge for handling a request. If we cannot fulfil it in full, we will explain the reason and how you can challenge our response.

12. Regional rights and complaints

For mainland China, you can ask to know about processing, consult or copy information, correct or supplement it, request deletion or an explanation of processing rules, and exercise other applicable rights. You can raise concerns with the authority responsible for personal information protection.

Where UK or EU data protection law applies, you can complain to the UK Information Commissioner's Office at ico.org.uk or the competent supervisory authority in your region. You do not have to complain to us before approaching a regulator.

AXIOVUM does not accept new registration, purchases, AI, behaviour rewards, Market or credential activity from people in the UK or EEA while the applicable UK and EEA representative appointments remain incomplete. Public course text and existing-account access for export, deletion and earlier records remain available. Before lifting this block, we will appoint the required representatives in writing and publish accessible contact details. This is an operational safeguard and not a statement that data-protection law would otherwise be inapplicable.

Other countries and US states may provide additional rights where their laws apply. Contact us to exercise an applicable right or challenge our response. This policy does not limit rights provided by mandatory local law.

13. Security and children

We limit the information requested through the public website and use access controls to protect its operation. Please use the HTTPS website address and avoid putting confidential information in a search or shared link. No website or email system can guarantee absolute security.

Accounts are for adults aged 18 or over. Registration requires you to confirm that you meet this age requirement; it does not involve collecting a date of birth or conducting an identity-document check. If you believe a child has registered or sent us personal information, contact us so that we can review the matter, close an ineligible account and handle the information under applicable rules.

If an information security incident affects personal information, we will investigate and take appropriate action, including any notifications required by applicable law.

14. Changes and contact

We will update this policy when the public website's processing changes. Material changes to AI, membership, Market, assessment, recordings or credential processing will be explained before the changed processing applies, with any required choices.

The published policy page shows its version and effective date. We will use an appropriate notice for material changes; where fresh consent is required, continued use will not replace it.

For this policy, a relevant previous version or a privacy request, contact contact@axiovum.com.
